Chapter 4 · The Work & The Page
Roles, Areas and Topics in Awaken Journal: what they're for, and whether you actually need them
The short answer: Roles, Areas and Topics are three levels for filing a task by who you are while you do it. A Role is a part of your life, like Health or Office. An Area is one ongoing part of a Role, like Office → Website. A Topic is one piece of an Area, like Website → Legal Pages. You only need the first: every task you add needs a Role, and the app gives you five to start. Areas and Topics are optional. Skip them and the task goes into one called General. None of the three changes your score.
The 45-second version: every task gets a Role, the part of your life it belongs to. Areas and Topics are there when a Role gets busy.
The last post was about what kind a task is: a Frog, a Goal or an Urgent task. This one is about where it lives: which part of your life it belongs to.

1 · Three levels, one question
In The Awaken Method, To-Do's own short guide, the section Organizing Life starts with one line: *"Tasks are organized around life, not software. Awaken first asks: Who am I while doing this?"* Then it names the three levels:
- Roles: "The identities you carry — Personal, Founder, Developer, Health…"
- Areas: "Major ongoing responsibilities — Developer → Website"
- Topics: "Focused sections — Developer → Website → Legal Pages"
So "Write the privacy page" isn't just a line on a list. It's work you do as a Developer, for the Website, in the Legal Pages part of it. One of the Method's principles says the same thing in four words: "Organize life, not files."
2 · Where to find them
Open the To-Do Dashboard and tap Roles & Areas ("Organize your tasks your way"). The page lists your Roles under ROLES IN MY LIFE, one card each, with ADD A ROLE ("Create a new role to stay organized") at the end. At the foot, The Awaken Method again: "Roles help you categorize tasks meaningfully so you can focus on what truly matters."
Tap a Role to open its page. Its Areas are listed there, and tapping an Area opens the Area's page, where its Topics are.
3 · Roles: the one level you need
Every task you add with Add Task needs a Role. If you haven't picked one, the app says "Pick a Role." and doesn't add the task.
You don't have to make any first. The first time you use To-Do, the app makes five Roles for you: Personal, Office, Family, Health and Learning. The tasks from our demo week could be filed like this:
- "Run three times" → Health
- "Read two chapters" → Learning
- "Call Grandma" → Family
- "Renew the car insurance" → Personal
To add your own, tap ADD A ROLE. Give it a name, a short description and an icon. The form also offers a few names to tap (Personal, Student, Office, Family), but you can type any name you like.
The one exception is the Brain Dump. An idea there has no Role, because the Brain Dump is for catching, not deciding (post 4). When you tap an idea, Let's plan the task asks for a Role, and that's what moves it to Uncommitted.
4 · Areas and Topics: for when a Role gets busy
If you don't pick an Area, the task goes into an Area called General under its Role, and into a Topic called General inside it. The app makes both the first time it needs them. So "Renew the car insurance" is filed as Personal / General, and you never had to think about it.
When a Role starts to hold a lot, Areas let you split it:
- Add an Area: open the Role's page and tap Add Area. Its Role is already filled in; give it a name, a description and an icon.
- Add a Topic: open the Area's page and tap Add Topic, then type its name.
- Or make one as you plan: in Let's plan the task, the Area and Topic lists let you type a new one there and then.
When you add a task, the Area list appears once you've picked a Role, and the Topic list once you've picked an Area. Each one only shows what's inside the level above it.

5 · What a Role page and an Area page show
A Role page has the Role's icon and name at the top (✎ to edit it), then three numbers:
- Active Areas: how many Areas the Role has.
- Committed Tasks: of this week's Frogs, Goals and Urgent tasks in this Role, how many are done.
- Total Tasks: done out of all its tasks, past weeks included.
Below them: TASKS (tasks in this Role with no Area), AREAS (tap one to open it), and three buttons, Add Area, Add Task and Brain Dump. Its quote: "Areas organise your tasks by the different parts of your life — so nothing that matters gets lost."
An Area page works the same way, one level down. Its numbers are Total Topics, Committed Tasks and Total Tasks. Then there's one card per Topic with its open tasks, and + Add Task on each card, which files the new task straight into that Topic. Tasks with no Topic sit on a card called Unfiled. Its quote: "Topics break an area into the parts you actually work on — small enough to finish, clear enough to start."
Both pages end with Logbook and Uncompleted, which show what this Role or Area finished, and didn't, in past weeks. They get their own post.
6 · What they don't change
Your score. A task's points come from its kind, never from its Role. A Frog in Health is worth exactly what a Frog in Office is worth (post 2 shows how the points are shared).
What they do change is how you see your tasks:
- Under each task's name, To-Do shows its Role and Area, like Health / General.
- On the Uncommitted page, planned tasks are grouped under their Role.
- On a Role or Area page, you see one part of your life on its own: what's committed this week, and how much is done.
7 · Moving a task to another Role, Area or Topic
Tap a task to open it and change its Role, Area or Topic.
- Changing the Role clears the Area and Topic, because they belonged to the old Role. The task then shows under TASKS on its new Role's page until you give it an Area.
- Area and Topic each have — none — at the top of the list, if you'd rather leave one empty.
8 · Deleting a Role, an Area or a Topic
- A Role can only be deleted when it's empty. The app asks: "Delete this role? It must be empty (no areas or tasks)." If it isn't, it says "Role still has areas or tasks." Tasks from past weeks count too, and a finished week can't be changed, so a Role you used in an earlier week stays. You can always rename it with ✎.
- An Area: "Delete this area? Its tasks keep their Role but lose the area link; its topics are removed."
- A Topic: its tasks stay in the Area, on the Unfiled card.
Nothing you delete here deletes a task.
9 · So, do you actually need them?
You need a Role, and the five ready-made ones are enough for many weeks. Areas and Topics are there when you want them, never because the app asks.
- Use Roles only if a glance at your week tells you what you need. Pick the closest Role and move on.
- Add an Area when one Role holds work you'd like to see on its own, like Office → Website and Office → Hiring.
- Add a Topic when an Area is a project with parts, like Website → Legal Pages.
- Think before adding a Role. Once you've used it in a week that's finished, it can't be deleted, only renamed. A new Area is the lighter choice.
You can start simple and add levels later. Tasks you've already filed stay where they are until you move them.

Check it yourself
- On the To-Do Dashboard, tap Roles & Areas. Your five starting Roles are under ROLES IN MY LIFE.
- Start a new task on the Committed page, type a name and tap Add Task before picking a Role. The app says "Pick a Role."
- Add a task with a Role but no Area. Under its name, you'll see the Role and General.
- Open that Role's page. Committed Tasks counts this week's tasks in it, done out of committed.
Quick answers
What's the difference between a Role, an Area and a Topic?
A Role is a part of your life (Office). An Area is one ongoing part of a Role (Office → Website). A Topic is one piece of an Area (Website → Legal Pages).
Do I have to use Roles?
Yes, every task you add needs one. The app makes five for you on day one: Personal, Office, Family, Health and Learning. Brain Dump ideas don't need one until you plan them.
Do I have to use Areas and Topics?
No. A task with no Area goes into an Area called General, in a Topic called General.
Do Roles change my Productivity Score?
No. Points come from a task's kind (Frog, Goal or Urgent), not its Role.
Why can't I delete a Role?
A Role can only be deleted when it has no Areas and no tasks, including tasks from past weeks. You can rename it instead.
What happens to my tasks if I delete an Area?
They keep their Role and lose only the Area. The Area's Topics are removed.
Are Topics the same as headings?
Yes, that's what they are: headings inside an Area that group its tasks. In the app they're called Topics.
